Your privacy is important to us. This Privacy Policy explains what personal data we collect from you and how we use it.
Important Information
- Rexel UK Limited is a company registered in England and Wales with registered number 00434724 and have our registered office at Eagle Court 2, Hatchford Brook, Hatchford Way, Sheldon, B26 3RZ. Our registered VAT number is 614213680.
- We are the data controller for your personal data, and are registered with the Information Commissioner's Office under the reference Z6048992.

What information we collect and use
- Rexel collects information to effectively administer the Rexel Extra scheme and provide you the best customer experience.
- Information you provide in forms: We collect information about you from the forms you fill in on our site Rexel Extra and/or our associated mobile applications. This includes information you provide when registering to use our site, subscribing to our service, posting material or requesting further services.
- Competitions and promotions: We may also ask you for information when you enter a competition or promotion sponsored by us, and when you report a problem with our site.
- Your interactions with us: If you contact us, we may keep a record of that correspondence. When you contact us, phone conversations may be monitored and recorded.
- Surveys you complete: We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
- Visits to our website: This includes, but is not limited to, traffic data, location weblogs and other communication data, whether this is required for our own billing purposes or otherwise, and the resources that you access.
- Location data. The mobile version of our website will collect information about your location if location services are enabled on your mobile phone.
What allows us to process your information?
- You have consented to us using your personal data: as part of the sign up process, you have ticked to agree that we process information about you and your company.
- We also need to use data about you because we need it to execute the contract you entered into when agreeing to our Terms and Conditions to join the Rexel Extra scheme.
What we do with it
- Administer the Rexel Extra scheme. We use the information we hold about you to allow our service provider to determine which rewards you may be entitled to, and provide these to you. Our service provider will send you a weekly update via email to advise you of your performance of the scheme and how close you are to reaching your target. You may also receive postal updates.
- Marketing communications. We also use your data to send you marketing communications about products, activities, promotions or other matters that we feel may be of interest or use to you. We will do so only if you have consented to us sending you such materials as part of the sign up process. How we share your data
- With the Rexel Extra scheme administrator.
- Rexel has asked A&I Events to manage this promotion on our behalf. This means that A&I will have access to all the information you provide when signing up for the Rexel Extra scheme.
- We will also share your spend data with A&I, so they can determine which reward you may be entitled to.
- We have carefully selected A&I and ensured that it abides by our data privacy and security requirements. A&I is not allowed to use personal data they receive from us or from you for any other purpose than that of administering this Rexel Extra scheme.
- You can find out more about A&I and their privacy practices on their website at www.a-igroup.co.uk.
- With vendors or suppliers. A&I may share information about you to third party suppliers so you can retrieve and order your rewards.
- Rexel Group.
- We share personal data among Rexel affiliates and subsidiaries. We may also disclose personal data as part of a corporate transaction such as a merger or acquisition
- In rare, specific cases. We will access, transfer, disclose and preserve personal data when we have a good faith belief that doing so is:
- allowed under applicable law;
- necessary to respond to valid requests for information, including from law enforcement agencies;
- necessary to protect our customers, for example to prevent fraud.
Your rights / access
You have rights over how we use your data.
- Access. You have a right to know whether we hold personal information about you. Where this is the case, you may request a copy of your personal data we held, as well as information about how it is being used. Your request will be responded to within one calendar month of your request. Please note that we may require you to provide proof of identity and, in certain cases, a fee, before we are able to provide any information.
- Portability. In certain circumstances, you may request to obtain a copy of the personal data you have provided us in a machine-readable, structured and commonly used format. This will allow you to reuse the data for your own purposes, or you can ask us to transmit it directly to another organisation for you where feasible.
- Rectification. Where information held about you is inaccurate or incomplete, you may request its rectification or completion.
- Objection. You have a right to object to the use of your data for marketing purposes. Additionally, where we have used your data in pursuit of our legitimate interests, you can ask us to stop (subject to conditions).
- Restriction. You have a right to ask us to restrict our use of your personal data in some circumstances, for example whilst we investigate a complaint that the data we hold about you is inaccurate (subject to conditions).
- Erasure. In certain circumstances, you may request that your information be erased (subject to conditions).
- Automated individual decision-making / Profiling. You have a right not to be subject to a decision made solely by automated means, without any human involvement. You also have a right not to be subject to a decision made based on the automated processing of your personal data to evaluate certain things about you. These rights are subject to specific conditions, and in the rare cases where we may make decisions about you based on automated individual decision-making or profiling, you will always be able to request human intervention in the decision-making process, or challenge our decision.
- Withdrawal of consent. You are allowed to withdraw your consent to our use of your data at any time. If there is no other justification for the use of your data, we will stop using it.
- Complaint. If you wish to raise a complaint on how we have handled your personal data, you can contact our Data Protection Contact, who will investigate the matter. If you are dissatisfied with our response or believe we are not processing your personal data in accordance with the law, you can complain to the Information Commissioner's Office (www.ico.org.uk).

Your communications preferences
- You can choose whether you wish to receive promotional communications from Rexel by email, SMS, postal mail and telephone. If you receive promotional email or SMS messages from us and would like to opt out, you can do so by following the instructions in those messages.
How long we keep your information
- Rexel retains personal data for two years from the Rexel Extra scheme end date to administer the Rexel Extra scheme, operate our business, or for other essential purposes such as complying with our legal obligations, resolving disputes and enforcing our agreements.
Transfers abroad
- In some cases, we may need to transfer your information outside of the European Economic Area because we (or a third party or vendor we use) store it on systems that are hosted abroad, or because it needs to be processed by staff operating outside the European Economic Area who work for Rexel, the administrator of the scheme A&I, or their suppliers. This will be for the purpose of, amongst other things, the processing of your selection to be a part of the scheme and the organisation of the award event.
- We may also transfer your data abroad if we have a legal obligation to do so.
- Where this is the case, Rexel and A&I will always ensure that your information is safe and only sent to organisations providing adequate safeguards, such as:
- Organisations established in countries providing adequate provisions to safeguard your personal information;
- Organisations who are contractually bound to protect your information; o Organisations who have obtained Privacy Shield certification.
We may also transfer your data abroad if we have a legal obligation to do so.
Changes to this Policy
- This Policy was last updated 21/06/2018. If we change our Privacy and Cookies Policy, we will update the changes on this website. We may also place notices on other pages of the website so you check our current policy at any time.
